DUTIES: Under general supervision, the incumbent will perform a wide variety of clerical and administrative work functions for the Office of the Provost and Vice President for Academic Affairs. Work hours for this position are Monday - Friday, 12:00 pm to 5:00 pm.

Duties may include, but are not limited to, the following:
  • Answer telephones
  • Greet and assist visitors
  • Receive, sort and process mail
  • Log & process all incoming documents for Provost’s signature
  • Deliver and/or pick up documents on campus
  • Assist with planning and set-up of meetings and events
  • Attend meetings, take & transcribe meeting notes as needed
  • Provide secretarial support for administrative searches
  • Maintain files & records
  • Inventory office supplies
  • Maintain printers & photocopier!
  • Prepare draft correspondence
  • Gather data/data entry
  • Assist office staff as needed
  • Special projects as assigned
This position requires the ability to communicate effectively, both verbally and in writing; draft or compose clear and concise correspondence and reports; compose clear and concise summary minutes, displaying proper use of grammar, composition, punctuation and professional business writing, as well as the ability to perform standard arithmetic functions. The incumbent must possess the ability to learn quickly, work with materials and information of a highly confidential and sensitive nature and apply judgment, discretion, and initiative in performing administrative support duties that relate to a variety of subjects, programs and projects. Must be flexible and possess the ability to effectively and independently handle a heavy workload and multiple projects simultaneously, set and shift priorities as required, work i! n an environment involving numerous deadlines and effectively organize ! work priorities as required for maximum productivity.

REQUIRED QUALIFICATIONS: Requires 3 years of recent (within 2 to 3 years), administrative assistant or general clerical experience; fully functional knowledge of and skill in standard office procedures & practices, and the ability to type at a corrected rate of 45 net words per minute (attach copy of recent typing certificate to employment application â€" within 2 years â€"internet certificates not accepted). Proficiency with Word and Excel required. Incumbent must maintain a professional standard of behavior, confidentiality and exercise sound judgment in the execution of all office related tasks.

PREFERRED QUALIFICATIONS: Experience with Power Point, First Class, Meeting Maker, and PeopleSoft desirable.

SCREENING: Only those applicants possessing experience most directly related to the immediate needs of the office will be invited to appear before a Qualifications Apprais! al Board for the purpose of appraising training, experience and interest in the position.
