Description

Summary

Provides administrative assistance ! to the President and senior leadership of L-3 Integrated Sensor Systems (ISS) Sector.

Essential Duties and Responsibilities

·

Handles all types of administrative functions including extensive calendaring, document production and filing, PowerPoint presentations, attendance and minutes at team meetings.

·

Establishes effective and positive working relationships with others including: internal administrative team members, consultants, vendors, and administrators and executives across L-3.

·

Manages multiple complex calendars, of the executive team.

·

Anticipates and uses initiative to schedule or reschedule meetings and appointments based on personal knowledge of workload and priorities.

A great deal of time will be spent scheduling and updating meeting notices for the department on a daily basis.

·

Provides domestic and international travel support, including the ! tracking and completion or expense reports, for the senior lea! dership team as required, ensuring corporate policies and guidelines are followed. This may include personal travel and appointments for the President.

Manages format and revises meeting agendas and minutes, updates weekly reports, formats presentations from multiple sources

·

Screens telephone calls, visitors, letters, answers routine questions, and furnishes information.

·

Uses judgment to handle inquiries from managers, employees, and other parties independently.

·

Stays well versed on software and electronic tools including Microsoft Office, travel websites and expense management tools.

·

Resolves concerns/issues as necessary. When referral is required, develops follow-up procedures to ensure that pending matters are handled in a timely manner.

·

Assists with the coordination of on-site and off-site company meetings, company events, and customer visits. Th! is may include set-up and takedown of prepared meals for customers and senior leadership.

·

Coordinates other special projects as required by the President and/or his direct reports.

·

Seeks ways to improve processes and eliminate inefficiencies. Follows defined processes ensure proper conformance to established policies and procedures and support our ISO quality system by assisting in the development of quality system documentation (as required)

Qualifications

Requirements

5 years of experience supporting Senior Executives in a large corporate environment. Experience in a defense, high technology, and/or a manufacturing environment preferred.

A H.S. diploma is required with BA in Business Administration or equivalent preferred.

Proven ability to manage complex calendars for executives in Microsoft Outlook.

Previous Experience in extensive travel booking; domestic and internationally.

Exceptional knowledge of business English, grammar, spelling, math, modern office practices and procedures, record keeping methods, digital asset management.

Expert knowledge of MS Office including Word, Excel, and PowerPoint.

Prior experience with Microsoft Access, Adobe Acrobat, Photoshop and other graphics programs is preferred.

Previous! success in executive support and relationship building in a highly-decentralized, multi-site environment.

Candidates must be US Citizens and meet eligibility requirements to access classified information.

Excellent written and verbal communication skills with expert writing and document formatting skills.

Strong organizational skills and ability to complete a high volume of tasks accurately and efficiently.

Ability to think on his/her feet and adapt to a constantly changing and fast paced environment.
