Position Description

***THIS POSITION IS OPEN UNTIL FILLED*** The Administrative Support Coordinator II performs administrative work that is typically operational or procedural in nature relating to the program, office or projects of the Department in which the incumbent resides. Work is often of a project nature and may require specialized knowledge. Typically, positions in this classification are responsible for the full scope of project activities including initiation, execution, coordination, implementation and evaluatio! n. Positions in this classification may coordinate the office ! support for an entire academic program, special program or administrative office, or for an administrative head to one of these offices. The Admissions Office serves the University by recruiting, admitting and enrolling a highly qualified, diverse new student population. The Admissions Office's primary function is to disseminate information to prospective students and the general public by phone, websites, electronic media, printed materials, correspondence and in person, as well as processing all relevant materials to make an admission determination Cal Poly, San Luis Obispo has adopted a unique, multi-criteria admission strategy to determine undergraduate admission. Each applicant is screened and ranked by major as a freshman or transfer student with differing criteria. The process involves a comprehensive, competitive scoring system found only at Cal Poly. This position independently under general direction provides administrative support for the entire admission process! and recruitment Unit of Admissions. The volume of prospective students and applicants per Admissions Advisor far exceeds that found at other CSU campuses. The competitive nature of the applicant pool for each undergraduate major means that far more highly-qualified applicants will be denied than accepted. This requires the Admissions Advisor to have a high level of interpersonal skills and the ability to deal with distraught and frustrated people in often difficult situations.

Minimum Qualifications (Staff Only)

High school diploma or its equivalent. Type 45 wpm. Five years of general office support or technical experience. (Training at a vocational school or full-time college education may be substituted for two years of the required experience on the basis of one year of college education for 6 months of experience)

Required Qualifications / Specialized Skills

Possess thorough in-depth knowledge of or the ability to quickly learn, area! s of the admission process and be able to intelligently share that know! ledge through strong communication skills and the ability to make a positive first impression. Ability to recognize multicultural, multi-gender and multi-generational value sys and work accordingly. Ability to effectively communicate and advise both verbally and in writing intricate policies and processes with diverse populations, such as applicants, current students, campus staff/advisors, off-campus advisors, prospective students and their parents, and returning students to include domestic, International, and graduate students. This communication includes email, written memos, letters, individual and group presentations and individual or group telephone conversations. Ability to set priorities and manage overlapping priorities that may be accompanied by pressure from customers and staff. Demonstrated time mgmt skills and ability to work independently with limited supv. Must be able to work in an open area with traffic, noise and frequent interruptions. Ability to develop! and maintain positive and cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies, student advising and community contacts and other contacted in the course of duties. Ability to work as an effective team member in all aspects of the Office of Adm, Recruit & Fin Aid. Ability to work in an analytic environment and function with multiple responsibilities and deadlines. Experience with a large, multi-functional database, including the ability to understand the logic and relationships existing within the automated MCA process and to make and explain exceptions where needed. Ability to research, interpret and independently apply a wide variety of complex written directives, guidelines, policies and procedures, such as the California Code of Regulations, Chancellor's Ofc Executive Orders, catalogs, other CSU and Cal Poly regulations, articulation agreements, student records database software and in-house procedure ma! nuals and translate into understandable terms. Demonstrated ability to ! quickly learn new software apps. Possess computer literacy, and a wking knowledge of standard computer applications including word processing, spreadsheets, databases, internet, calendaring and e-mailing sys. Ability to comprehend applicable regulations, tables, statutes, and eligibility reqs. Ability to perform detailed work with a high degree of accuracy and efficiency. Thorough knowledge of proper English grammar, spelling, and punctuation. Knowledge of standard office practices and equip and ability to maintain and establish records and files. Ability to accept constant change and adapt to swiftly changing priorities. Ability to translate complex residency issues that could involve legal immigration status or questions of legal custody. General wking knowledge or the ability to quickly attain knowledge of each Academic College and its programs and policies, student services & depts, clubs, athletics, & the campus in general. Ability to exercise the utmost discretion in ! safeguarding confidential information and student records. Use tact and diplomacy when deciding how much info to share when answering direct questions about sensitive policies and proprietary info. Ability to speak knowledgeably about all aspects of Cal Poly's admissions process and course offerings of the various campus depts. Knowledge of or the ability to quickly attain knowledge of the layout of the campus and discuss points of interest as visitors are guided around the 400 acre campus core. Preferred Qualifications / Skills

Experience with MS Word, Excel, PeopleSoft, Zimbra, EMT, and CSUMentor. Knowledge of student records processing and tracking. Past experience in and admissions office in an institution of higher education. Bilingual language skills, preferably in Spanish.

Special Conditions (Staff)

***THIS POSITION IS OPEN UNTIL FILLED*** R! etired CalPERS members selected for this vacancy must request and be ap! proved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business. This position classification has been defined as non-exempt and is subject to overtime provisions of the Fair Labor Standards Act (FLSA). Must be able to work various hours and schedules to provide coverage for the needs of the Department. Must be able to successfully pass a pre-employment background/fingerprint check. Must be able to work overtime, occasional holidays and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
