Under the direction of the Chief Executive Officer, the Executive Assistant and Board of Directors Liaison, in support of the CEO, perf! orms a wide variety of complex duties requiring a high degree of accuracy and independent judgment. Organizes and controls the flow of work in order to accomplish the objectives of the Chief Executive Officer in an expeditious manner.

Coordinates all meetings and activities of the Board and its committees including, but not limited to, notice of meetings, agendas, consolidation and/or preparation of materials for consideration, physical and logistical arrangements, minutes and transcripts.

Responsible for overall supervision, management, and training activities of the department secretarial staff.

Essential Duties and Responsibilities:
Prioritizes work daily to ensure objectives are met in an expeditious manner.

Provides executive assistance to the Chief Executive Officer maintaining matters of confidentiality at all times. Under the direction of the CEO administrative support to the Board of Directors is provided.

Pre! pares correspondence, memorandums, and communications on behal! f of the Chief Executive Officer, exercising creative writing, expert grammar and spelling.

Works with the Chief Executive Officer, Board Chairman, and Legal Counsel to formulate agendas and provide timely posting of notices in accordance with the Brown Act and proper notification to members and to any person who has filed a written request.

Manages preparations for all meetings and events of the Chief Executive Officer and Board of Directors, including dietary and environmental requests. Disseminate all meeting materials and communications, assuring timely delivery.

Plans and prepares CEO and Board educational sessions. Arranges for accommodations, meeting location and monitoring event budget. Organizes and facilitates activities, speakers, and catering, to ensure a smooth process.

Organizes, coordinates, and maintains CEO and Board Member calendars.

Maintains time and attendance in Kronos for the Administrative Staff and CEO di! rect reports.

Attends and takes minutes at CEO and Board of Directors meetings. Prepare minutes for approval. and maintain permanent record of official minutes and other proceedings of the Board serving as recorder and repository of Board files and official records of the Board.

Maintains department files in a complete, accurate, and orderly fashion using confidential practices at all times. Manages and oversees contracts and agreements using the MediTract program.

Prepares monthly stipend requests with detailed back up documentation for Members of the Board.

Prepares and updates Statement of Facts Roster of Public Agencies Filing (Government Code Section 53051) to be filed with the Secretary of State and County of Los Angeles Registrar Recorder/County Clerk.

Coordinates travel arrangements and travel documents for the Chief Executive Officer and Board of Directors and others as needed. Prepare travel authorizations and provide f! ollow up reconciliation and reimbursement of travel expenses.

! Manages the use of the corporate credit card, providing detailed reconciliation for CEO approval.

Maintain Board Resolutions and the Corporate Seal; Maintain Board Member attendance log for Regular and Special Board Meetings.

Maintains file of CEO, Staff, and Board Evaluations,

Prepares election materials in compliance with the Registrar Recorder. Coordinate "Oath of Office" reception for newly elected Board members and facilitate new Board Member orientation.

Responds to all requests from Board at the direction of the CEO to facilitate their duties arid interest as Directors.

Facilitates AVHD Legislative activities preparing correspondence in opposition or support of legislation and disseminating to various political figures as directed by the CEO.

Manages special projects from inception to completion, as assigned by the CEO

Reviews and handles appropriately all mail, pursuing administrative action as needed.
Accountable for staff selection, disciplinary process and performance appraisals.

Knowledge, Skills and Abilities:
Knowledge

Knowledge of hospital and departmental structure,

Demonstrates knowledge of administrative policies and procedures.

Knowledgeable regarding wage administration, timekeeping and attendance policies and process.

Ability to organize, plan, schedule, delegate work, determine priorities and meet deadlines.

Skills

PC proficiency in Microsoft Office Word, Excel, Power Point, and Outlook. Knowledge of Visio, Kronos, and MediTract preferred.

Typing a minimum of 60 words per minute. Must possess solid foundation of English usage, spelling, grammar, and punctuation.

Shorthand, fast long hand, or computer dictation experience required.

Possess leadership skills working in a team-oriented environment.

Abilities

Ability to coordinate multip! le meeting tasks and a myriad of complex details on a concurrent basis.!

Ability to communicate effectively with tact and diplomacy, both orally and in writing, including working with all staff levels and diverse personalities.

Education and Experience:
Education

Associates Degree or equivalent combination of education and/or experience required.

Experience

Minimum five years experience supporting a top level executive.

Supervisory experience preferred

Required Licensure and/or Certifications:
None

Physical Requirements and Working Conditions:
Work is performed in a fast paced office environment

Work requires frequent visits to conference/office locations within the hospital

Must be able to use standard office equipment, sit and walk to meetings.

Occasional lifting up to 25 lbs
