The Department of Medicine is the largest department in the School of Medicine at UCSF. The research operations of the Department span many sp! ecialties (infectious diseases, pulmonary, cardiology, general internal medicine, etc.) and the total portfolio of extramural funds brought in from faculty is in excess of $180 million in annual direct dollars. These research activities are supported across multiple sites by a coordinated team of Research Services Administrators who are managed by and report to each of the Divisions.
Job Overview
This position will serve as the Administrative Analyst (AA) in the Department of Medicine’s SFVAMC central administration team. The AA works with the Director of Administration (DA) to manage service chief and associate chief schedules, including coordinating UCSF and VAMC meetings involving the chiefs and/or the DA. The AA also coordinates and performs administrative activities related to UCSF, including website updates, file management, purchasing, reimbursements, event planning, and assisting with various projects. The majority of the AA’s work is in assisting t! he DA and the pre-/post- award analysts), particularly focusin! g on VAMC divisions without dedicated research support. Responsibilities include, but are not limited to, ledger reconciliation, purchasing, preparation of check requests, cost transfers and other journals, assisting with proposal development and submission, assisting with affiliate appointments, HR actions, and assisting with financial reporting across the department/service. The position will also perform other duties, as assigned.

- Three to five years academic administrative experience (working in an educational or medical environment), including meeting / event planning and coordinating multiple complex schedules
- Strong customer service and problem solving skills
- Demonstrated strong skills in MS Word (e.g., advanced formatting, mail merge), Outlook (e.g., calendar and task management) and Excel (e.g., multipage spreadsheets with linked formulae, pivot tables)
- Demonstrated superior analytical, interpersonal, communication (verbal and written), organizational and problem-solving skills, with the ability to professionally interact with a diverse group of individuals
- Ability to analyze complex and non-routine issues, requiring innovative solutions
- Ability to work effectively in a fast-paced, dynamic environment, responding to change with agility and flexibility! to meet the demands of multiple customers and deadlines
- Demon! strated strong work ethic and reliability
- Ability to drive or travel to other UCSF locations for meetings, training, errands
- Ability to interpret and apply policies and/or regulations (e.g., indirect cost rates, federal cost principles, contract and grant policies, agency guidelines)
- Detail oriented with ability to proactively follow projects through to completion, working independently without need for close supervision
- Proven accuracy with demonstrated ability to manage multiple projects simultaneously
- Excellent financial and analytical skills â€" experience working with budgets
- Ability to build and maintain effective relationships with staff in other functional areas
