Reports to: Vice President/General Manager
Position Summary
The Director of Administration oversees the day to day operations of PRO-TEK’s office environment and provides support for PRO-TEK’s Vice President. The Admin Director has fiscal responsibility for PRO-TEK’s A/R, A/P, GL review and providing financial data to PRO-TEK’S accounting group. In addition to the financial responsibilities t! he Director acts as the in-house IMS/IT administrator for the ! business application for both financial and business operations. Other responsibilities are HR liaison and HSE representative.
Essential Duties and Responsibilities
- responsible for local IMS/IT administration and user support
- responsible for all IT co-ordination including managing software and server upgrades
- oversee financial tracking and analysis (posting A/P, A/R, P/R & GL coding and review)
- maintain business and financial analytical reports for VP
- maintain a close working relationship with corporate accounting, IT, and HR personnel.
- responsible for reviewing and updating company’s Terms and Agreements, Service Agreements etc.
- liaison with all contract service providers to PRO-TEK, receives bids/proposals from new vendors for competitive review
- submit payroll and maintain accurate HR records on all employees
- Health-Safety-Environmental (HSE) representative, attending meetings, documenting training and drills- works closely with Operations Manager to insure proper process and procedure for pricing and billing
- supports new projects, processes and procedures
Skills, Education, and / or Experience needed:
- college degree and at least four years of professional experience in an Office Manager position
- must be able to speak and read English fluently
- must be able to work at a fast pace and handle multiple tasks with minimal supervision
- must have excellent interpersonal skills
- requires a high level of organizational skills
- needs excellent verbal communication skills and must be able to articulate thoughts and ideas in writing
- must be able to take and follow directions
- ability to express thoughts and opinions verbally in a thoughtful way
- must be a self-starter
- requires the ability to review documents for errors
- requires a working knowledge of office telephone systems
- requires a working understanding o! f paper and electronic file organization and their continued maintenanc! e
- requires excellent skills in Microsoft Office: Word, Excel, PowerPoint
- strong internet and email program skills
- working knowledge of complete accounting cycle: A/P, A/R, P/R, F/S. Familiarity with MAS 200 helpful.
