JOB SUMMARY
The Adventures in Music (AIM) Scheduling Coordinator administers and implements scheduling of eight music ensembles of professional musicians for appearances at all San Francisco Unified School District Elementary schools, as well as at a number of independent and parochial schools. Working closely with the Education Programs Manager and Education Programs Associate, the position is responsible for precise and accurate scheduling; seamless communication to schools, ensembles, and the Symphony; and accurate and precise tracking of scheduling details through the production of reports utilizing Microsoft Access software.
The position works on behalf of the San Francisco Symphonyâs innovative and award-winning Adventures in Music (AIM) program, which serves nearly 24,000 students on 91 campuses with more than 1,000 in-school ensemble presentations per year. The position reports to the Education Programs Manager, and works closely with both the Education Programs Manager and Education Programs Associate.
This temporary position is scheduled to end June 7, 2013 and is not eligible for San Francisco Symphony sponsored benefits. However, the Coordinator may be eligible for certain benefits through select ordinances of the City of San Francisco.
RESPONSIBILITIES
Precise scheduling by telephone and email of 8 different education ensembles (4 for the AIM I program, and another 4 for the AIM II program), utilizing information provided on ensemble availability.
Precise and accurate management of scheduling data, including maintenance of fluid and complex AIM program scheduling databases.
Maintain accurate and complete schedule of performances, adding new engagements on an ongoing basis while maintaining campus and ensemble scheduling integrity.
Tracking of all ensemble performance scheduling utilizing Microsoft Access software.
Precise and accurate reportage of scheduling data to ensembles, schools, and SFS Education Department staff.
Production of error-free daily, weekly, and monthly scheduling confirmation memos to school contacts, ensemble leaders, and Symphony Education Department staff.
Production of error-free daily/weekly/monthly scheduling reports to Symphony Education Department staff.
Clear and professional ongoing dialogue with all AIM constituencies: school administrators, musicians, and SFS Education Department staff. Interact positively and successfully regarding all aspects of ensemble scheduling, reportage, and follow-up.
Maintain complete and impeccably organized database(s) and paper files. Maintain thorough and accurate records on all scheduling activities.
Assist Education Department staff with other tasks as needed
QUALIFICATIONS
Experience with scheduling software is desirable; willingness to undergo training in use of scheduling software is essential.
Strong proficiency and demonstrated expertise with Microsoft Office Suite, with an emphasis on mail merges and database manipulation.
Excellent professional phone manner.
Demonstrated successful customer service experience with strong verbal communication skills.
Strong organizational skills, with ability to work independently and manage highly detailed tasks.
Ability to exercise professional judgment in knowing when to ask for assistance.
Ability to work on multiple projects simultaneously while maintaining a sliding focus as needed.
Ability to complete tasks accurately and on schedule.
Must be highly detailed and work with a high degree of accuracy in recordkeeping, data entry, and reportage.
Must be able to edit and proofread own work to ensure integrity of scheduling before publishing memos/reports.
Demonstrated problem solving skills; ability to troubleshoot, and identify scheduling gaps and anomalies.
Demonstrated ability to work as part of a team, with a range of diverse personalities and settings, including school personnel, musicians, and SFS Education Department staff.
Demonstrated courtesy, patience, diplomacy, diligence, thoroughness, and accuracy in previous work experience.
