Coordinator Fleet [Kuwait]


 

This is an administration and operation role that primarily focuses on coordinating, maintaining records, issuing/receiving vehicles, and evaluating various work-related tasks in accordance with the company rules and regulations.
Essential Duties and Responsibilities
  • Coordinate the delivery of keys and vehicles and paperwork to the drivers.
  • Coordinate repairs, recalls and all scheduled maintenance of vehicles as needed.
  • Make sure keys, vehicles and fuel cards are issued and returned as in same condition.
  • Coordinate pick up and drop off vehicles from Police station/Auto company when necessary.
  • Vehicles inspection upon issuing & receiving for damages and to inform driver about damages/mishandling etc.
  • Guide and train drivers about vehicles mishandling charges and penalties.
  • Maintain and keep accurate records of vehicles used by the drivers.
  • Maintenance/repair estimations from service providers to verify and to ensure charges are meeting with contract terms and conditions as well as maintain this record for each vehicle.
  • Keep Fleet Manager informed of current issues with vehicles and service providers reported by drivers.
  • Ensure vehicle registration, Food delivery permit and delivery permit is up to date.
  • Ensure to train the guide driver about safety of the vehicles, cleanliness, and no smoking/eating policy to implement and coordinate with quality team to ensure the rules are followed.
  • Provide clarity on invoices provided by service provider needs to be verified and ensure to match with estimations and approvals.
  • Track and monitor vehicles activities using GPS system provided by company.
  • Maintain the data for misuse vehicles and record the deduction for each driver.
  • Support team for other tasks i.e., collecting data for 3PL’s bikes/cars etc. investigation and ad hoc task by department manager.
  • Maintain the incident report for all the accident vehicle record.
  • Coordinate with the vendor for the replacement.
Qualifications and Experience
  • Arabic language fluency is required.
  • Must be able to use G-Sheets, and MS Office
  • Must have knowledge to inspect vehicles for damage and repairs.
  • Must have 1 to 2 years’ experience in Fleet industry.
