The Tutorial Center administrator supports the center’s academic supervisor in ensuring smooth functioning of the Tutorial Center’s daily operations. The role also entails provision of administrative support for events and activities organized by the center and the unit as a whole. Duties include, but are not limited to:

Reception
  • Ensure center is opened & closed punctually each day.
  • Ensure reception desk is staffed throughout the day.
  • Answer queries by telephone & email
Tutorial Sessions
  • Support students and student tutors with registration & use of WCO booking system.
  • Monitor tutorial sessions to ensure they proceed as scheduled & in accordance with center policies and procedures; entails evening & weekend duties.
  • Address issues that arise to ensure tutorial sessions proceed as scheduled
  • Assist with management of center’s online booking and scheduling software (WCO)
Peer Tutor Program
  • Supervise student tutors’ work hours & maintain accurate records.
  • Process student tutors’ payments & follow up as necessary.
  • Train student tutors in procedures relating to claiming pay.
  • Assist with production & distribution of student tutors’ certificates at the end of the service.
Publicity & promotion
  • Assist with publicity materials for center services & oversee distribution.
  • Maintain up to date noticeboards & signage.
  • Assist with promotional events & displays, e.g. Learning Center info desks in H4/C5, new student orientation events, high school student visits, etc
  • Assist with design and print requests.
  • Liaise with UOD as necessary, e.g. for photo-shoots & media coverage.
File-keeping
  • Create & maintain up to date contact lists (e.g. for tutors, college advisors) and course lists
  • Maintain other administrative records & files for center (e.g. tutor database, student survey data, etc)
Center resources & hardware
  • Ensure learning resources & materials are adequately stocked & well-organized.
  • Ensure maintenance of hardware, furniture & other resources.
  • Process IT support requests & follow up as necessary.
  • Order stationery & other office supplies as necessary.
  • Place purchase orders & follow up on delivery.
Other
  • Ensure center policies & procedures are implemented in absence of academic supervisor.
  • Ensure student-centered learning environment is maintained.
  • Provide administrative support to the academic supervisor as necessary, e.g. reviewing & updating WCO registration data.
  • Provide administrative support for instructors & tutors working in the center as necessary.
  • Provide administrative support for SSU events, e.g. room booking, A/V, catering, furniture/hardware, campus security, media coverage, advertising, distribution of prizes, etc.
Minimum Qualification
Bachelor Degree

Preferred Qualification
Bachelor Degree in a related topic
Marketing / Digital design qualifications
