Sensiba San Filippo LLP is actively seeking a bright, energetic, motivated receptionist to assist in the delivery of outstanding service to our clients.
Job Summary: The ideal candidate will have 3 - 5 years of receptionist/administrative support experience, preferably working with high level professionals. The position requires outstanding customer service and interpersonal skills, superb organizational skills as well as excellent verbal and written communication skills. This job is vital to the success of our organization and demands customer-focus, organization and lots of attention to detail.
Primary Responsibilities:
Courteous phone and client reception
Receive deliveries & call recipients
Monitor & distribute faxes by email
Weigh, stamp, and log mail
Prepare packages and generate UPS or FedEx forms
Distribute mail
Scanning and filing as needed
Order and stock office, snack and beverage supplies
Order and/or pick up lunches for meetings
Set up and maintain lobby and conference rooms
Bind documents and compile packets
Order files from storage, when needed
Bring in newspaper daily
Check general voicemail & forward messages as needed
Fill & empty dishwasher, keep area clean & organized, keep sink empty
Make coffee as needed
Stock paper trays for printers and copiers, keep areas clean & organized
Call for service for office machines when needed
Update phone lists in conference rooms, kitchen, scanner, distribute to employees
Assist other offices with phone coverage when necessary
Take mail/packages to post office or FedEx when necessary
Assist with office events as required
Assemble tax returns, letters, etc. per staff requests, update VPM accordingly
Assist Administrative Assistants with set up of events (lunches, meetings, etc.)
Check Fax folder in Outlook for incoming faxes, distribute faxes and e-save
Confirm partners tax return appointments (during busy season)
Copy/Scan client information per staff requests
Create MSA/SW letters upon request and track signed documents
Empty Partners "Out" boxes
Fax client information upon request (return faxed items to staff/partner once done)
File miscellaneous files
Minimum Qualifications:
- High School diploma or equivalent
- Minimum of 3 years receptionist/administrative support experience
- Ability to handle work accurately and quickly
- Demonstrated self-starter with strong communication and interpersonal skills
- Demonstrated proficiency in Microsoft Office Suite
- Excellent phone skills and customer service orientation
- Organized and flexible individual; able to perform multiple tasks
