The Administrative Secretary provides secretarial and administrative support services to the Assistant Administrator of Ancillary and Support Services as well as to the Director of Business Development and Strategy. This position schedules all meeting and conference rooms, assists with answering the telephones and directing calls, assists with visitors in the department, prepares diverse correspondence, and assists with special projects as assigned. This position will support and assist with marketing projects, creating brochures and other marketing correspondence. This position will also provide a wide range of analytical support to the Assistant Administrator of Ancillary and Support Services. This position accesses and downloads patient satisfaction data on a weekly basis and produces and maintains statistical graphs and assists with other projects around the "Delta Difference". This position will serve as a support person for the Delta Difference Teams that will include such tasks as sending meeting reminders and agendas, assembling and distributing meeting packets and taking and distributing minutes.
Qualifications
Education/Licensure:
1. High School Diploma or equivalent
2. Course Work in secretarial science or equivalent experiance required
Experiance:
1. Prior secretarial experiance required, health care or administrative support preferred.
2. Experience working in a professional environment
3. Experience working on multi faceted project.
4. Must be able to determine appropriate methodologies in gathering information and analysis.
5. Ability to create statistical reports and complex graphs.
6. Requires a combination of education and experiences in acquiring date, report format and generation, and analysis and delivery of final reports.
Knowledge:
1. Excellent communication skills, both verbal and written are required.
2. Ability to work with a minimal amount of supervision and effectively establish work priorities
3. Ability to maintain the integrity of confidential information.
4. Demonstrated ability to professionally handle public contact.
5. The ability to perform job duties well, in a multi-tasking, fast paced environment
6. Proven ability to create, design and generate report formats by reporting data through a multiple of different applications.
The ideal applicant must be highly organized and able to handle multiple, changing priorities; provide excellent customer service skills and be comfortable interacting with the public and all hospital staff. Additionally, you must be accomplished in all Microsoft Word applications; Word, Access, Outlook, Excel, Publisher and PowerPoint.
